Job Description

Project Management

Planning/collaborating

Developing detailed project plans, project scopes, and objectives, involving all relevant stakeholders and ensuring technical feasibility.

Break projects into doable actions and set timeframes

Analyse risks and opportunities.

Help / Prepare project budget.

Liaise with clients/Process champions to identify and define requirements, scope, and objectives

Ensuring resource availability and allocation. Coordinating project schedules, resources, equipment, and information.

Coordinate with stakeholders: internal resources, and client’s third parties/vendors for the flawless execution of projects. Establish and maintain relationships with stakeholders.

Project execution

Assign tasks to internal teams and assist with schedule management

Oversee project procurement management if any

Monitor project progress and handle any issues that arise.

Measure project performance using appropriate systems, tools, and techniques

Use appropriate verification techniques to manage changes in project scope, schedule, and costs

Use tools to monitor working hours, plans, and expenditures

Ensure that all projects are delivered on-time, within scope and within budget

Report and escalate to management as needed

Manage the relationship with the client and all stakeholders

Perform risk management to minimize project risks

Issue all appropriate legal paperwork (e.g. contracts and terms of agreement)

Ensure standards and requirements are met through conducting quality assurance tests

Create and maintain comprehensive project documentation, plans and reports

Ensure that client’s needs are met as the project evolves

Confidentiality

Ensure high standards of confidentiality to safeguard any sensitive information.

QMS, Technical/Document writing & Document Control Specialist

Review Policies and Procedures

Coordinate with a team of subject matter experts in developing, revising, mapping, implementing, and maintaining procedural documentation (policies, standard operating procedures, Work Instructions, and supporting documents).

Provide recommendations regarding process design, documentation development, change management, and supporting systems.

Evaluate procedural documentation against evolving industry/regulatory requirements and expectations, audit/inspection findings, business needs, changes in, industry standards, and client feedback and trends, making recommendations for changes when necessary.

Support Management in the

development and approval of policies and procedures

Produce processes and related documentation that meets regulatory and accreditation standard requirements, supports corporate inspection-ready, is designed with operational effectiveness in mind, effectiveness in mind and contains measurable controls where applicable.

Manage the workflows for routing, review, approval, distribution, and archival of new and revised controlled documents. Manage established user groups and periodically review access/security and audit trails.

Support Management in implementing Quality Management System (QMS)

Communicating the importance of the QMS requirements

Engaging, directing, and supporting people to participate in the QMS

Ensure customer and legal requirements are met

Ensure that risks and opportunities are identified and addressed

Assign responsibility for the QMS, & its processes, reporting, and for managing change

Review the QMS at planned intervals

Support Management in

implementing and improving

procedural documents.

Evaluate the implemented policies and procedures in collaboration with

Quality Improvement and Accreditation Management departments to identify

opportunities for improvement and act accordingly.

Review the changes or amendments made to existing policies and procedures

by the respective departments with respect to identified gaps and

improvement opportunities

Serve as a departmental contact for issues and/or concerns related to policies

and procedures.

Manage queries and deviations from the organization related to assigned policies/SOPs

Confidentiality

Ensure high standards of confidentiality to safeguard any sensitive

information.

 

 

Minimum Skill Requirements

Education Requirements

1.     Degree in Business Administration or related field.

2.     Degree or professional certification or equivalent experience.

Certification

1.    Professional PM certification plausible PMP

2.    QMS Certification (ISO 9001:2015) & ISO 9001, 27001

Experience & Knowledge

1.     Minimum 2+ years of Proven work experience as a Project Lead/Coordinator or similar role. Experience in project management, from conception to delivery & continuous improvement projects.

2.     Minimum 7+ years of experience in writing policies & procedures to satisfy ISO 9001/27001 standards with a strong preference for candidates who have done so within the insurance industry.

Skills Requirements

Ø  Strong background in business skills, management, budgeting, and analysis.

Ø  Should be an excellent communicator and comfortable managing multiple tasks.

Ø  Should be a team player and have a problem-solving aptitude.

Ø  Hands-on experience with project management tools (e.g. MS Projects, ZOHO, Basecamp)

Ø  Good stakeholder management experience, especially impactful communication, influencing and running project governance Implementation, change management, and benefits realization.

 

·         Strong data gathering and analytical skills. Demonstrated ability to work with subject matter experts to produce clear and concise documentation appropriate for the intended audience

·         Strong knowledge of SOPs and Quality Management System (QMS) quality systems

·         Strong knowledge of ISO 9001, 27001

·         Excellent interpersonal skills and proven ability to work well in a team environment

·         Strong verbal and written communication skills.

·         Technical proficiency, including skills in the use of common desktop tools (MS Word, MS Excel, MS Visio); tools for process design and mapping; and systems for document management, publishing, and communication.
